The Accounting/Bookkeeping area assists circuit clerk’s offices with all phases
of their bookkeeping systems from training to investigation and solution to complicated
accounting issues, both computer-based and procedure based. In addition to working
with the circuit clerk’s offices, this area also works as liaison between the clerk’s
offices and the auditors. All of the bookkeeping background data used by the computer
is based in this area.
- Serve as main system-wide resource for the SJIS accounting system for procedural
assistance, questions, solving program problems/errors, solving bookkeeper problems/errors,
training and implementation of improved procedures and techniques.
- Work with legal staff and examiners to assure that all computer accounting procedures
meet state requirements and statutes.
- Assist bookkeepers in circuit clerk’s offices with problems arising out of end of
day procedures, end of month procedures, computer generated accounting reports and
bank reconciliation issues.
- Research, investigate and solve bookkeeping procedural issues due to either computer
or human error.
- Provide step-by-step guides and manuals for various bookkeeping procedures in SJIS.
- Review pending legislation concerning local and statewide cost changes, or any other
legislation that will affect the SJIS bookkeeping system.
- Implement local and statewide cost changes through directing the programmers in
changes needed in the system, updating appropriate disbursement schedules, and notification
of circuit clerk’s and their staff of new cost and new bookkeeping procedures.
- Serve as a liaison between clerk’s offices and the Examiners of Public Accounts,
especially during audits when issues arise.
- Conduct training, both in a conference setting and onsite, to assist circuit clerk’s
and their staffs to gain knowledge of all areas of the bookkeeping system.
- Direct the extraction of monetary information from the computer for internal and
external uses including legislative support, rules changes, measuring standards,
and other management needs.
